Privacy policy
Pit Crew turns your long videos into short clips, posts them to your YouTube channel and Instagram account when you choose, and shows how they do. This page says what we collect, why, who else sees it, how long we keep it, and how to delete it. In short: we only use your data to do what you ask Pit Crew to do. We don't sell it, we don't show ads, and we don't use it to train AI models.
Pit Crew uses YouTube API Services. When you connect YouTube, Google's Privacy Policy also applies, and by using Pit Crew's YouTube features you agree to the YouTube Terms of Service.
What we collect
Your account
- Your email address and name. If you sign in with Google, your Google account ID, name and email (Google sign-in asks for nothing else).
- Your password, stored only as a one-way hash: we can't read it.
- Whether your email is confirmed, and short-lived codes for confirming your email and resetting your password (stored only as a hash, and they expire).
- How many minutes of video you've used this month (for the monthly allowance).
Your videos and what Pit Crew makes from them
- The videos you upload, or the file at a Google Drive link you paste.
- What Pit Crew makes: a transcript (written on our own server), the clips, thumbnails, hooks, titles, descriptions, captions and hashtags, and your edits to them.
- If you paste a YouTube link to your video, we read its public title and description.
Your YouTube channel (only if you connect it)
We ask Google for these permissions:
| Permission | What Pit Crew does with it |
|---|---|
Manage your YouTube account (youtube) | Upload and schedule the clips and videos you choose; change the title or time of ones Pit Crew posted for you; replace a clip you edited (upload the new one, remove the old one); delete a clip Pit Crew posted for you, when you choose Delete on it; see whether something Pit Crew posted was deleted in YouTube Studio; read your channel's name and picture. |
View YouTube Analytics reports (yt-analytics.readonly) | Show your channel's and videos' numbers on the Analytics page (views, watch time, likes, comments, shares, subscribers, where viewers come from and who they are). |
We keep the access token Google gives us, encrypted, so Pit Crew can post at the time you scheduled. We keep your channel's ID, name and picture, and a record of each video Pit Crew posted for you (its YouTube video ID, the title Pit Crew gave it, and when). We also keep a list of the other public and unlisted videos on your connected channels (each one's YouTube video ID, title, date, length and privacy), so the Videos and Shorts & Reels pages can list them with a link to YouTube; we never download them. Pit Crew checks all of this with YouTube once a day. A video that's gone from YouTube is marked "Removed or deleted" and no longer counts as posted: its record is deleted when you clear it, and at the latest 30 days later. Your channel's name and picture are updated at least once a week. If you pasted a link to your video, its description and tags are read again from YouTube after 30 days, or deleted if YouTube doesn't show them any more. The numbers on the Analytics page are fetched from YouTube when you open it and kept only in the server's memory: for up to 10 minutes (Pit Crew's daily summary of them, for a day; each clip's first-week views, for up to 30 days). They are not saved.
Your Instagram account (only if you connect it)
We ask Instagram for: your profile (instagram_business_basic: username, account type, picture),
publishing (instagram_business_content_publish: post the Reels you choose at the time you pick) and
insights (instagram_business_manage_insights: your Reels' and account's numbers for the Analytics page).
We keep the access token, encrypted, and a record of each Reel Pit Crew posted (its Instagram ID and link). We also keep
a list of the other Reels on your connected accounts (each one's Instagram ID, the first line of its caption, date, link
and picture address), so the Shorts & Reels page can list them with a link to Instagram; we never download them. Pit
Crew reads that list when you connect the account and then once a day, and it's deleted as soon as you disconnect the
account or remove Pit Crew from Instagram. Once a
day we save the numbers of the Reels Pit Crew posted (views, likes, comments, shares, saves), so Analytics can show
each clip's first week; Instagram only gives running totals. Other Instagram numbers are kept only in memory, for up to
10 minutes. To post a Reel, Instagram downloads the clip from Pit Crew through a private link that expires.
Technical data
- One cookie: it keeps you signed in (for up to 30 days). No advertising or tracking cookies.
- Your browser's storage: your preferences (light or dark look, which tab you last used, lessons you've ticked). It stays on your device.
- Your IP address: used for a short time to stop people guessing passwords or making many accounts, and it can appear in the server's error logs, which we keep for at most 30 days.
Who else sees your data
Only these services, only for what's described, and each under its own privacy terms:
| Service | What it gets, and why |
|---|---|
| OpenAI (the OpenAI API) | Your video's transcript (to pick moments and write titles, descriptions, hooks and captions), frames from your clips (to choose and design thumbnails), and your channel's numbers (for Pit Crew's daily summary on the Analytics page). During the beta we use Google's free Gemini API plan, under which Google may use what we send to improve its products (people at Google may review it). Don't upload a video you wouldn't want reviewed. We'll update this page when we move to the paid plan, which doesn't allow that. On the free plan nothing from your YouTube account goes to Gemini: no channel numbers, and not the details of a video read from its YouTube link (Pit Crew's read on Analytics is then written without AI). |
| Google (YouTube) | The clips, titles, descriptions and times you choose to post, and requests for your numbers. |
| Meta (Instagram) | The Reels and captions you choose to post, and requests for your numbers. |
| Oracle Cloud | Runs the server Pit Crew is on, so everything above is stored there. |
| Our email provider | Your email address and the emails Pit Crew sends you (confirm your email, reset your password, a clip is ready, a post failed). |
| Google Fonts | The Pit Crew app loads its fonts from Google, which sees your IP address when it does. |
We never sell your data, share it with advertisers, or give it to anyone else, unless the law makes us.
Google user data
Pit Crew's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use YouTube data only to provide Pit Crew's features to you, never for advertising, and no person at Pit Crew reads it unless you ask us to help with a problem or the law requires it.
How long we keep it
- The video you uploaded: 72 hours after you last edit it. What Pit Crew made from it stays.
- Clips you didn't post: 30 days after you last edit them. When the video is deleted, each of these keeps a short piece of it (the clip's moment and about 30 seconds either side) so you can still edit it; that piece is deleted with the clip.
- The video file of a clip that went out: 30 days after it was posted (its record and thumbnail stay).
- The spare copy of a transcript (so uploading the same video again is quicker): 30 days.
- Everything else: until you delete it, or your account.
- Backups of the account database: 14 days.
Your choices
- Disconnect YouTube or Instagram in Pit Crew's Settings: we delete that account's access token straight away. For a YouTube channel, everything else Pit Crew kept from YouTube about it (its video IDs, name and picture) is deleted within 7 days; your clips themselves stay in Pit Crew. Connect the channel again before then and nothing is lost. You can also remove Pit Crew's access in your Google security settings: Pit Crew notices at its next weekly check and deletes the same within 14 days. For Instagram, use Settings › Website permissions › Apps and websites.
- Delete a video or a clip on its page.
- Delete your account in Settings: we delete your account, every video, clip, transcript and saved number, and every connection (and we tell Google to cancel Pit Crew's access to your YouTube account). See how to delete your data.
- Ask us for a copy of your data, a correction, or deletion of anything: neshrochwani121@gmail.com. We do it within 7 days.
Security
Pit Crew only works over https. Passwords are stored as one-way hashes, and YouTube and Instagram tokens are encrypted. Each person's videos and clips can only be opened by them. No system is perfectly secure; if something goes wrong that affects your data, we'll tell you.
Children
Pit Crew isn't for anyone under 13 (or the minimum age to use YouTube or Instagram where you live).
Changes
If we change this policy, we'll update the date at the top, and tell you in Pit Crew or by email if the change matters for how your data is used.
